Prior to 1996, the security for most patient health care information warily rested in the hands of the health care facilities. In 1996, the Health Insurance Portability and Accountability Act (HIPAA) was enacted to assure that patients’ private health information remained properly protected and secure among other health care professionals. As a scanning service we fall under the “covered entities” section of the bill, meaning that we must also comply with HIPAA standards to assist our customers in accordance with the act.
In accordance to HIPPA’s standards, as a “covered entity,” ScansAmerica is required to protect the privacy and security of any medical document or personal health information. As a HIPAA compliant company, ScansAmerica has established protocols to protect all variations of private information. Medical document scanning service security begins with the possession of the medical records. They must remain secure from the time they are picked up until they are returned to the originiating facility, post conversion. ScansAmerica provides the service of securely acquiring the documents and transporting them to our protected facility that can only be accessed by our trained company employees. A few of the features our building include are:
- Alarmed building with controlled physical access
- Keypad entry door lock systems
- Cell phones and cameras are prohibited
- Unmarked building
- No wireless Internet available
Once the documents are safely delivered, our trained personnel receive, prep, scan and index the records. All of our employees are certified and have received Federal and State background checks. They are also HIPAA qualified and conduct in ongoing privacy training year-round. Once the scanning process is complete, we are able to return the documents securely to your location.
